Rates

A number of hotel rooms in different price categories have been block-booked in Valencia at preferential rates for the period of the ECCEO11-IOF Congress (March 23-26, 2011).

All rates are quoted in Euros (€), valid as of March 2011. Rates are per room and night with breakfast and taxes (8%) included

Payment information

All registration fees must be paid in advance in Euros (€).

  • By credit card
    Payment is accepted by American Express, VISA and/or MasterCard credit cards and can be done via the secured payment tool provided while registering on-line. Please note that your credit card will be debited in Euros (€) and your monthly credit card statement will show your payment under MCI Communication Spain.
    NOTE: a 4% handling fee of the total amount will be charged when paying with American Express
  • By bank transfer
    The bank transfer payment has to be made in Euro (€), including all bank transfer charges to the following account:

    Please indicate on your payment slip in order for your payment to be identified and traced correctly to your registration account:

    • your first and family name
    • your registration number (mentioned on the pre-registration document)
    • “ECCEO11-IOF Congress”
    • “Free of charge for the receiver account” on all payments

    Please note that this option will only be available until February 1, 2011. Then only credit card transactions are acceptable.

Remark: We regret that we are unable to accept personal cheques, Eurocheques, company cheques and banker’s drafts.

Check-in/Out

Please note Congress Delegates will be able to do the check in from 14:00 hours, and will be able to access the rooms upon availability

The check out time should be made before 12.00 p.m hours.

Confirmation

Upon completing the on-line reservation, each participant will receive by email an automatically generated confirmation of accommodation. The reservation becomes active only when full payment has reached the Official Registration Agency (MCI Spain) – whether by credit card or by bank transfer.

Changes

All the changes must be sent to MCI Spain in writing (fax, letter, or email).

Cancellation, no show and early departure

All hotel cancellations must be sent to MCI in writing (fax, letter, or email).

For cancellations received before January 5, 2011 the payment will be refunded less the first night. After this date, no refund will be possible.

For hotel bookings, full payment of the nights reserved is required. The reservation will be confirmed upon receipt of the payment that can be done by credit card. All extra expenses such as mini bar and telephone must be paid directly to the hotel when checking out.

No Show will have the 100% of the reservation as cancelation costs

Disclaimer

All reasonable endeavors will be made to hold the Congress and to present its programme as scheduled under circumstances which assure the comfort and safety of all participants and their guests. However, the BJC reserves the right to modify the programme, unilaterally and without notice.

Neither BJC, IOF or ESCEO, nor their officers, directors, employees, representatives or agents, shall be held liable by any person as a result of the cancellation of the Congress or any of the arrangements, programmes or plans connected therewith, or for any injury, damage or inconvenience which may be suffered by any person while travelling to or from, or during such person’s presence in Spain in connection with this Congress. Participants and their guests are advised to purchase their own insurance against any such occurrences.

Any litigation stemming from the above contract will be tried in Liège, Belgium where the Belgian law is exclusively applicable.

Force Majeure

In case of force majeure, the Congress organisers have the right to alter or cancel the Congress without prior notice, however a notice of the occurrence shall be given by BJC as soon as reasonably possible. Force majeure shall mean any circumstance beyond the reasonable control of BJC which prevents or impedes the holding of the Congress, including, but not limited to, government action, war or hostilities, riot or civil commotion, plague or other epidemic such as SARS, bird flu, etc, earthquake, flood, hurricane, cyclone, fire or other natural physical disaster, explosion, accident or breakdown, strike, lack of the usual means of transportation or terrorism or due to events which are not attributable to wrongful intent or gross negligence of the BJC, IOF or ESCEO . BJC, IOF and ESCEO shall not be liable for any direct or indirect, incidental or consequential damages, losses, expenditures or any other inconveniences or costs caused by such modification or cancellation of the Congress. Furthermore, registration fees will not be reimbursed by BJC, IOF and ESCEO.
